01 — Overture
The show runs on time.
ShowKeeper is the system of record for luxury wedding and event production. One date builds the timeline. Budgets carry IVA and three currencies. Run-of-shows assemble themselves — and every approval locks with a timestamp.

02 — The Documents
Production documents, produced.
Run-of-shows, per-vendor timelines, cue sheets, hospitality and rooming lists — generated from live project data, branded with your house’s logo, palette and type, versioned and locked on approval.
Change the dinner time once. Every document that mentions it is already out of date — except here, where they rebuild themselves and carry the version to prove it.
03 — The Timeline
One date builds the timeline.
Give ShowKeeper the event date and it lays out the production plan — 120+ tasks with dependencies, owners and due dates, from venue scouting to the final walkthrough. Work it as a list, a board, a calendar or a Gantt; it is the same single record underneath.
04 — The Budget
Budgets that speak IVA.
Line-item budgets with Italian IVA at 10% and 22%, in EUR, USD and GBP. Deposits, payment schedules and versioned deltas — so when the flower budget moves, you can show exactly when, by how much, and who approved it.
| No. | Line item | IVA | EUR | Δ v2 |
|---|---|---|---|---|
| 44 | Floral installation | 10% | 48,600.00 | +6,150.00 |

05 — The Vendors
Every vendor, on cue.
A multi-day event runs on 30 to 150 vendors. ShowKeeper keeps the house vendor book, sends RFQs and compares quotes side by side, distributes schedules in one click — with a delivery log — and gives each vendor a portal scoped to exactly their part of the show.
06 — The Clients
A portal worthy of your clientele.
Your clients meet a calm, branded Frontdesk: guided onboarding, RSVP and guest management, preference collection — and one-click approvals that lock with a timestamp. No more disputed sign-offs, no more decisions buried in email.
07 — The AI
Run by AI that never improvises.
ShowKeeper’s assistant answers in your data and writes documents from strict templates — no paraphrasing, no creative variation. Every change is logged in an audit trail, sections can be locked, and nothing updates without a human confirming it. A WhatsApp companion reads project threads and suggests tasks; it never creates them on its own.
“Load-in for the fireworks crew moves to 15:00 — can you confirm the terrace is clear?”
Suggested task
Confirm terrace clear by 14:30 with the venue
Owner — Production · due Sat 19 Sep
Awaiting human confirmation
08 — The House
The house rules.
- EU data residency.
- AES-256 at rest · TLS 1.3 in transit.
- Six roles, from owner to viewer — clients never see markups; vendors only see their scope.
- Every change logged. Every approval timestamped.
14:32 CET · budget line 47 updated · v3 locked
14:31 CET · approval requested — F&B revision
14:12 CET · run of show regenerated · 12 documents
Encoded from the working templates of a top-ranked luxury planning practice — not imagined by a software company.
09 — The Invitation
The first hundred houses.
ShowKeeper opens to its founding members ahead of the public launch. The first hundred planning houses shape the run of show — and keep founding terms for life.
